Privacy policy

Last updated: October 17, 2026

Tru-Oak Ottawa Cabinets and Contracting (“TruOak”, “we”, “us”) respects your privacy. This policy explains what personal information we collect through our website and quote requests, how we use it, and the choices you have. We follow Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and, for clients in Quebec, the Act respecting the protection of personal information in the private sector.

1. Information we collect

When you request a quote or contact us, we collect what you choose to give us:

  • your name, phone number and email address, and how you prefer to be contacted
  • details about your project: the type of work, the area where the property is located, whether you have drawings, whether you own the property, when you’d like to start and, if you choose, your approximate budget
  • anything else you tell us by phone, text or email

If you hire us, we also collect what we need to deliver the project, such as your address, measurements and photos of the space, your selections, and the details needed for invoicing.

2. Cookies and analytics

Our website works without cookies. If you click “Accept” in the cookie notice, we load Google Analytics, which sets cookies to collect general information about how visitors use the site, such as pages viewed, device type and approximate location. We use it only to improve the site. If you click “Decline” or do nothing, Google Analytics is not loaded.

Your choice is saved in your browser so we don’t ask again. You can change it at any time with the “Cookie settings” link at the bottom of every page.

3. How we use it

  • to respond to your request and prepare your quote
  • to book your consultation and site measure
  • to plan, schedule and deliver your project, and to invoice you
  • to honour our 2-year warranty and handle any follow-up service
  • to meet our legal, tax and accounting obligations
  • to send you planning tips, offers or text updates, only if you’ve agreed to receive them

4. Your consent

By sending us a quote request, you agree that we can use your information for the purposes above. Marketing emails and text updates are separate and optional: we only send them if you tick the box for them. You can withdraw your consent at any time by using the unsubscribe link in any email, replying STOP to any text, or contacting us. Withdrawing consent doesn’t affect a project already underway.

5. Who we share it with

We never sell or rent your personal information. We only share it:

  • with independent professionals we coordinate on your project, such as electricians, plumbers or engineers, and only what they need to do their part
  • with service providers that help us run the business, such as our website form service (Web3Forms), email, scheduling, analytics and accounting tools, who must protect it and use it only for us
  • when the law requires it

Some of these service providers may store information outside Ontario or Quebec, including in the United States, where it may be subject to local laws.

6. How long we keep it

We keep quote requests that don’t go ahead for up to 2 years, then delete them. For clients, we keep project records for the length of the warranty and for as long as tax and business record laws require.

7. How we protect it

We use reasonable physical, organizational and technical safeguards to protect your information against loss, theft and unauthorized access. Only the people who need your information to serve you can see it.

8. Your rights

You can ask to see the personal information we hold about you, ask us to correct it, ask us to delete it where the law allows, or withdraw your consent. Contact us using the details below and we’ll respond within 30 days.

If you’re not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada or, if you live in Quebec, the Commission d’accès à l’information du Québec.

9. Person in charge of privacy

Questions or requests about your personal information can be sent to our person in charge of the protection of personal information:

Privacy, TruOak
